Why it exists

Chasing is not the hard part. The hard part is what happens after the client replies. 'We'll pay on our next run', 'can we do it in three', 'the boiler part was never fitted' each needs a different response, a date to remember and a record. Small contractors keep all of this in their heads and their inbox. Promises get forgotten, disputes drag on, and when they finally want to escalate they have no organised history.

Who it is for

Recommended segment (our recommendation, not the founder's choice): UK trade and property-maintenance contractors with 2 to 20 staff (plumbing and heating, electrical, roofing, general maintenance) in England and Wales. They invoice letting agents, property managers, facilities firms and small commercial clients, usually from Xero or QuickBooks. Their clients pay on fixed supplier payment runs, and the owner chases late invoices personally by phone and email after the day's jobs. Chaser, Upflow, Kolleno and Tesorio sell to finance teams that run collections as a process. This owner has no finance team, takes replies by text and email, and needs the reply turned into an action. The Netherlands is the recommended second market, with a separate Dutch rules pack after launch.

When a client's invoice goes overdue and they reply with 'we pay on the 28th', 'can we split it' or 'that's not what we agreed', I want every reply understood, written down as a dated promise, plan or dispute, and followed up at the right moment inside the rules, so I get paid without chasing from the van at night and I have a clean evidence pack if it ever has to go further.

What makes it different

Reminder tools stop at sending the email. PayPilot works from the client's reply. It reads each answer, records it as a promise, plan, hold or dispute, books a reminder two days before the agreed date (moved off weekends and UK bank holidays), and keeps a timestamped history that becomes an evidence dossier in one click. Every message is checked against a configurable England and Wales rules pack, is clearly sent on the business's behalf, and goes out only after the owner approves it.
